How to Complete Your Empadronamiento in Spain — Step-by-Step Guide 2026

Empadronamiento (town-hall registration, literally "enrollment in the padrón municipal register") is the process of registering your residential address with your local Spanish municipality. In Madrid and Barcelona it is not a prerequisite for booking your fingerprint appointment, but in most other regions it is required. You will also need to present the registration certificate at the fingerprint appointment itself. The procedure is straightforward but does require a little preparation.

Step 1: Find Your Town Hall (Ayuntamiento)

Registration happens at the Ayuntamiento (town hall) for the city or district where you are living.

  • Ayuntamiento de Madrid
  • Ayuntamiento de Barcelona
  • Ayuntamiento de Valencia, etc.

On the town-hall website, look for the section labeled Padrón / Empadronamiento.

Step 2: Book an Appointment (Cita Previa)

In most cities you must book a cita previa (prior appointment) before visiting the town hall.

Three ways to book:

  • Online through the town-hall website
  • By phone
  • Walk-in — sometimes possible in smaller towns

If appointment slots are fully booked or appear only rarely, appointment-hunting services are available that monitor the booking system and grab open slots on your behalf. Typical cost: around €50 per slot per person.

Step 3: Gather Your Documents

  • Passport
  • Proof of address — one of the following:
    • Renting: contrato de alquiler (rental agreement)
    • Owner-occupied: escritura (property deed)
    • Staying with friends or a host: written authorization from the property owner (template below) + copy of their passport or DNI
  • Marriage certificate with a certified translation by a sworn traductor jurado (required when registering a spouse)
  • Birth certificate with a certified translation + consent from the other parent (for children not registered jointly)

Step 4: Attend the Appointment

  1. Fill out the hoja de empadronamiento (registration form). It may be given to you at the counter, or you can download it from the town-hall website in advance.
  2. On the form you will provide:
    • Full name
    • Date of birth
    • Address in Spain
    • Passport number
  3. Submit your documents to the town-hall official at the counter.

Step 5: Collect Your Certificado de Empadronamiento

After registration you will receive a Certificado de Empadronamiento — the official document confirming your registered address in Spain.

Collection options:

  • Immediately at the counter on the day of your appointment
  • Within a few days — pick up in person
  • Online — downloadable from the town-hall website (where available)

Validity Period

The Certificado de Empadronamiento is valid for 3 months from the date of issue. If it has expired by the time you submit your residency documents, you will need to obtain a fresh one. Plan ahead so the certificate is still current on the day of your fingerprint appointment.

Sample Landlord Authorization Letter

If you are staying with friends or a host, ask them to write an authorization using the following template (this is a Spanish-language document written by the property owner):

AUTORIZACIÓN DE EMPADRONAMIENTO Yo, [Owner's full name], con DNI/NIE/Pasaporte nº [document number], propietario/a de la vivienda situada en: [Full property address: street, building number, apartment, city, postal code] AUTORIZO a: [Full name of the person being registered], con pasaporte/DNI nº [number], a empadronarse en dicha vivienda. En [city], a [date]. Firma [Owner's signature]

Attach a copy of the property owner's passport or DNI to this authorization letter.
